Run it for fifteen minutes with three dated things on the table: next week's roster, the school calendar and the provider's closing time. The dates keep it short. The New York City Public Schools calendar for 2026-27 already names every closure and the six dates when students in the affected schools are dismissed three hours early (NYCPS School Year Calendar 2026-2027), so the check-in reads them instead of discovering them. What changes the meeting is the roster: when it has not been posted, list the fixed commitments only and set a second five-minute check-in for the day it arrives.
Bring three dated documents and nothing else
The roster first, because everything else bends around it. Then the school calendar, with the next four weeks visible rather than the whole year. Then the provider's own schedule, which sits in the written agreement you signed: ChildCare.gov lists hours of operation, program schedule and closures, payment and fees including late fees, and authorized adults as the contract's contents (Your Responsibilities Once You Find Care). Print the four weeks or put them on one screen; a check-in where somebody scrolls a phone looking for a date takes twice as long and finds half as much.
Everything outside those three documents waits. A conversation about who does more of the housework is a real conversation and it is not this one; started here, it runs until somebody has to leave for work and ends with nothing written down.
Bring unavailable hours that are not paid work, without explaining them. A class, a medical appointment, a sleep window after a night shift and an hour already promised to somebody else are all unavailable. "Not scheduled to work" and "free to take responsibility" are different states, and the difference is what the check-in exists to catch.
Four questions, in this order
- What changed since last time? Only the dates and hours that moved. Two minutes.
- Where do two things now overlap, or where is a handoff uncovered? One sentence for each gap, with the clock times in it.
- Who checks which option, and by when? A name and an hour, not a hope. "I will call the program before noon Wednesday and reply in this thread."
- What is confirmed, and who outside this room needs telling? The provider, a relative, a manager.
Keep an item marked waiting until the answer comes back. Three quarters of the value here is refusing to write "sorted" next to something nobody has agreed to yet.
Deadlines that belong to somebody else go in at their real length. Where the need for leave is foreseeable, the Department of Labor says an employee "must give at least 30 days advance notice if it is possible and practical to do so" (Fact Sheet #28E). A June appointment discussed in a Sunday check-in in April is inside that; one discussed in late May is not, and the check-in is where that gets noticed.
An example: a Sunday check-in that finds one gap
Example. Morgan's Friday shift now ends at 6:00 pm instead of 4:30. Lee's class starts at 6:30 pm, 20 minutes away. The child care pickup closes at 6:00 pm.
Question one produces one changed line, the Friday finish. Question two produces the gap in clock time: nobody is at the door between 5:40 and 6:00 pm on Friday, and Lee has to leave at 6:10 pm. Question three produces two names and two deadlines: Morgan asks the scheduler on Monday whether Friday can end at 5:00 pm, Lee asks an already-discussed contact whether they can collect at 5:40 pm, both answering in the thread by Tuesday night. Question four produces one message to the provider, because a new collector has to be on its written authorized list before Friday.
Nothing about the rest of the week gets discussed. Eleven minutes, one gap, two owners, one message out. The dated entries land on the shared calendar with an owner and a status, the provisional part of the week goes into planning a week when shifts keep changing, and the run of closure days ahead belongs in planning for school closures.
Close with the line that carries the dates: "Confirmed: Lee collects Friday at 5:40 pm and goes on the provider's authorized list Monday. Waiting: Morgan's 5:00 pm finish, answer by Tuesday 9 pm."
